Position Title: School Office Staff / Administrative Assistant
Reports To: Leadership Team
Classification: Part-Time, Non-Exempt
Work Schedule: 2026-2027 School Year

Position Summary

The School Office Staff member serves as the welcoming face and operational hub of the
school community. Working in alignment with the Catholic mission and values of the school, this
position provides essential administrative, clerical, and student support services that ensure the
smooth day-to-day operation of the school office. This individual demonstrates professionalism,
compassion, and a genuine commitment to the well-being of students, families, faculty, and
staff.

Essential Duties and Responsibilities

Reception and Communication
  • Greet and assist students, parents, staff, and visitors in a warm, professional, and Christ-centered manner.
  • Answer and direct incoming phone calls; manage voicemail and general school email correspondence.
  • Relay messages and information accurately and in a timely manner to faculty, staff, and families.
  • Serve as first point of contact for school emergencies and apply appropriate protocols.
Student Services
  • Manage student attendance records, process daily absences, tardies, and early dismissals.
  • Assist with administration of first aid; maintain first aid logs and notify parents when needed; oversee the health room in coordination with any part-time nurse or health aide.
  • Support student enrollment and withdrawal processes, including collection and filing of required documentation.
  • Issue visitor badges, and handle student sign-in/sign-out procedures.
Administrative and Clerical Support
  • Maintain and organize student cumulative files, health records, and other confidential documentation.
  • Process incoming and outgoing mail; operate and maintain office equipment.
  • Maintain office supply inventory and coordinate ordering as needed.
  • Support preparation of school directories, enrollment reports and immunization records.
School Community and Mission Support
  • Support and actively uphold the Catholic identity and mission of the school in all interactions.
  • Maintain a visible, welcoming, and organized office environment consistent with the school’s values.
  • Perform other duties as assigned by the Leadership Team.

Qualifications and Requirements

Education and Experience
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Prior experience in a Catholic or faith-based school environment is a plus.
Knowledge, Skills, and Abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Experience with or ability to learn student information systems (FACTS, PowerSchool, etc.).
  • Excellent verbal and written communication skills; bilingual (English/Spanish) a plus.
  • Strong organizational skills and the ability to manage multiple tasks with competing priorities.
  • Demonstrated discretion and ability to handle confidential information with professionalism.
  • Caring and patient demeanor when working with children, families, and diverse school community members.
  • Ability to remain calm and effective in a fast-paced environment.

  • Agreement to abide by the Diocese’s Code of Conduct and all applicable policies.
  • Completion of Diocesan-required Safe Environment training and background check clearance.
